1. Scope and responsible party

This notice describes personal information used by this service marketplace for customer requests, contractor registration, lead purchases, credits and website operation. The service operates under the name LeadDistro. Support and privacy enquiries can be sent to support@leaddistro.co.za. The responsible party is Riaan Nigrini, trading as LeadDistro, at Nr 9 Scabra Street, Danabaai.

2. Information collected

  • Account and contact information such as names, email addresses, telephone numbers and login credentials.
  • Contractor business details, service categories, service areas, business addresses, logos and verification documents such as identification and company registration documents.
  • Customer request descriptions, locations and any supporting information submitted through the service.
  • Credit balances, lead purchases, payment references, amounts, payment status and account activity.
  • Ratings, correspondence, session identifiers and technical information recorded by the website or hosting server, such as request and error logs.

Information comes from forms you submit, your use of the platform and service providers confirming transactions. Required form fields are needed to provide the requested feature; without them we may be unable to register an account, verify a contractor or process a request.

3. Why information is used

Information is used to operate accounts, review contractor applications, publish profiles and requests, match services and areas, enable customer contact, process payments and credits, send service-related messages, prevent misuse and resolve disputes. Depending on the purpose, processing may be necessary for an agreement, a legal obligation, a legitimate interest, or based on consent. Consent is not the only basis for processing.

4. Public information and sharing

Contractor profiles can display business names, descriptions, logos, service areas, addresses supplied for the profile and ratings. Public request pages can display the customer's name, service description, location, reference and date, with email and telephone details masked in the public preview. Contractors purchasing a lead receive access to the contact information needed to respond. More than one contractor may purchase the same lead.

Authorised administrators access information needed for account review and support. Hosting, email and payment providers process information needed for their services. Yoco handles the payment process; the platform records payment references and transaction status. Information may also be disclosed where legally required or necessary to investigate misuse.

Do not put sensitive information in public descriptions. A contractor receiving lead information is responsible for using it lawfully and only for a relevant purpose.

5. Cookies and external resources

The site uses session cookies for login and security. Disabling these can prevent account functions from working. Pages load some libraries, fonts and icons from external content delivery networks, which receive connection information such as your IP address when your browser requests those resources. Featured advertiser links take you to external websites with their own privacy practices.

6. Storage, security and retention

The application uses measures including password hashing, authenticated access and restricted handling of verification documents. No online system can guarantee absolute security. Personal information should be retained only for its operational purpose, applicable record-keeping obligations or the resolution of disputes, and then deleted or de-identified where appropriate.

LeadDistro uses Domains.co.za to host its website and database in South Africa.

Retention and review schedule

The following periods guide manual retention reviews. They are not automatic deletion timers. Records due for review are assessed monthly and deleted or de-identified when no continuing lawful purpose requires them. You may also request an earlier review at support@leaddistro.co.za.

  • Customer lead details and attachments: review for deletion or de-identification 12 months after submission. Retain beyond that only where the request remains genuinely active or a documented dispute or legal obligation requires particular information.
  • Contractor accounts and public profiles: retain while the account is active. Review after 24 months without activity and contact the account holder before closing an inactive account. Resolve remaining paid credits and outstanding matters before closure. After closure, review ordinary profile and contact data for deletion within 90 days.
  • Verification documents: review copies of identity and company documents within 90 days of the final verification decision. Delete copies no longer needed, retaining a minimal verification outcome and date where appropriate. Continued storage of a document requires a specific recorded reason.
  • Payment, credit, refund and accounting records: retain the information needed for tax and accounting obligations. The usual tax period is five years from submission of the relevant return, or the applicable period-end where no return is required. Unfiled returns, audits, disputes or other legal duties may require longer retention. This does not justify keeping unrelated identity documents or full lead descriptions.
  • Support and complaint correspondence: review 24 months after the matter is resolved. Retain only the evidence still needed for an unresolved or legally relevant matter.
  • Routine application logs: review after 90 days; retain specific security-incident evidence longer only where needed for investigation or legal purposes.
  • Backups: a 90-day rotation is the operational target for backups under LeadDistro's control. Provider-managed backup periods must be confirmed with the provider; this notice does not assert that its settings have already been changed. Backups are restricted to recovery purposes, and deletions must be reapplied if older data is restored.

Where information must be held longer, restrict access to the relevant purpose, record the reason and review it until the hold ends. These periods do not prevent earlier deletion where information is no longer needed.

External payment, email and content delivery services may process information outside South Africa. Their locations and safeguards require provider-specific checks; South African website hosting alone is not a guarantee that all processing takes place locally.

7. Your choices and rights

Subject to the requirements and exceptions in applicable law, you may request access to your personal information, correction of inaccurate information, deletion of information that should no longer be retained, or object to processing. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful processing. Some records may still need to be retained for legal or transaction-related reasons.

Submit requests to the privacy contact below. Identity verification may be needed before information is released or changed. Avoid sending identity documents through an unverified channel. You may complain to South Africa's Information Regulator.
